You have an artwork that requires approval or comments, or you need a new artwork version. You can send a feedback request to multiple people (*for versions only one person possible), inside or outside your organization/Twona System users or not.
After selecting the artwork version files you want to request approval/comments on, you are presented a few options. What do each of them mean?
1. REQUEST APPROVAL
You select this option when you want that the person receiving the request either approves or rejects the files with comments to amend them.
In some cases, you may need to request an extra verification process so that the approval is digitally signed. You need to then mark this option "Request Digital Signature" after selecting the approval function.
A person receiving a feedback request with this option marked will need to
a) Click the Approve button
b) Enter their system password as a double step verification if they are a system user / their email if they are external
c) Enter a Code that will be sent to them by email (this is only needed one time per session for system users)
2. REQUEST COMMENTS
This option means that the recipient will be able to annotate files, leave comments/messages related to the version file, and upload files as attachments.
You may only want the recipient to do this and you do not need a formal approval - this happens sometimes in the early stages of a project when you send the file for comments before including all changes.
You can also decide if you want other people involved in this request to see each other's comments or not. If you are sending these to an external party that needs to accumulate all changes, it would be good that you do select it.
If this option is selected, all recipients of the feedback request will be able to see each other comments and whether they approved the files or not. This is a way to collaboratively provide feedback on a file, as one can see the comments made by another colleague and focus on other comments rather than repeating the same over and over.
3. REQUEST A NEW VERSION BASED ON THE ONE YOU ARE SENDING
If you need an external party to work on a new artwork for you, using the information collected in the approval process for instance, you can select this option.
You need to choose what version status the artwork should be uploaded in - normally this will be "in Progress" or similar, although you may have different needs.
The person (for this functionality, only one user/email is allowed) receiving the request for a new artwork version will then be able to see the comments, annotations, attachments and work on a new version that they can upload through the link in their email (or on the artwork details page if it was sent to a user).
